Patient recall at a dental practice: how to bring people back for the routine check

A list for people who have not booked their next check, and how an open slot in the diary gets a name from that list.

Recall is for people who have not booked

A recall is the next visit that is not on the book yet: the routine check, the cleaning, the next step in a plan. An SMS reminder is the message for a time that already exists.

When the two get mixed, reception calls the people who are coming tomorrow and loses the people who left months ago without a next appointment. The message for the current time is in SMS reminders. This page is the list of people who have not booked.

Write the next date before the patient leaves

The practice chooses the interval. For a routine check and cleaning, the usual example is six months. If the treatment plan needs them sooner, write the sooner date.

The date goes in before the patient gets out of the chair. If it waits until the book looks empty, there is no list. There is memory, and memory does not open on Monday morning.

Say it out loud, with two specific times if you have them. Someone who books now leaves the outstanding list. Someone who does not stays on it, with a date. The reminder for the routine check is that conversation: it is time for the check, and there is no appointment yet.

One list of who should come back

The list needs three things: who, for which visit, and when. Someone who already has an appointment comes off the outstanding list. Someone who passed the date without booking stays visible, so you call them.

In Calendo Dental the recall list stays on the same schedule as the day, next to the waitlist. The next visits stay there: which patients should come back, and whether the date is due or already overdue. The waitlist is people waiting for a time.

Reception and dentists see the same day. The record opens from the visit. Names and phone numbers stay in the practice, not in a group message and not on this page. Dental appointment software and Calendo Dental say this for the team.

How an open slot in the diary gets a name

A cancellation frees a slot when the schedule shows the cancellation. Reception creates, moves, and cancels appointments. Dentists work from the same day. A cancellation and an absence stay separate records. What to do when someone does not come explains the split.

Reception decides the order. A practical order: first the person who is due for a check and has not booked, then the person waiting for a time on the waitlist. A call with a specific time helps more than a general “whenever you like”. If they do not answer, they stay on the list for the next open slot.

The list does not fill the book by itself. It makes the open slot concrete: there are names to call, at the moment the slot opened.

From the phone, when the slot opens

A slot opens when someone cancels, and reception may not be at the computer. Calendo Dental has an iPhone and Android app. Sign-in uses the same email as the browser, at dental.organosi.com.gr. Your schedule is on your phone: who is coming, and what is next.

The cancellation stays on the same day, and that day is on the team’s phone too. The recall list stays on the same schedule. You call from the phone already in your hand and book the time. After that, the reminder for that time goes by SMS and email. For more details, see the terms of use. How the message leaves is in SMS reminders.

Finances, notes and files open comfortably on the computer. Install steps are on the phone app page and on the install page.

What you say on the call

Keep it short and specific: the check or the cleaning is due in this period, you have Tuesday at 11:00 or Thursday at 17:30, which one suits them. If neither does, ask which day to look at again, and keep them on the list.

If the practice has turned on public online booking, patients book from the page and the visit sits on the shared day. Someone who does not open the page stays on the list until you call.

Do not put a clinical detail in a message someone else might see. The conversation is about the next visit and the time.

Limit

A practical note on recalling patients for a routine check. It does not promise a full book. This page does not show a patient name or phone number.
